Players and Captains

Use these steps for public league information, signing in, rosters, and weekly score sheets.

View Schedule, Standings, League History, and Rules

These pages are public. Players do not need a username or password to check dates, current standings, league history, player records, or rules.

  1. Open the website.
  2. Choose Schedule, Standings, League History, or Rules.
  3. Use the session, division, or team dropdowns when more than one league night is active.
  4. The Schedule page offers This Week, Selected Teams, and Full Season scopes. Use the matching searchable Divisions and Teams selectors to choose one or several play days and teams. Make all choices in one selector, then click elsewhere, press Escape, or move to the other selector; the changed schedule refreshes automatically without an Apply button. Only one selector stays open at a time. The Vertical List, month Calendar, phone agenda, and printed calendar combine those choices and label every match with its division. Print Calendar creates a clean landscape calendar: lighter months share a sheet when readable, while busy months receive their own sheet. Browser-added dates, URLs, and page numbers can be removed by turning off Headers and footers in the print dialog.
  5. On Standings, switch between Standings and Weekly Results with the selected tab. Search team and player results separately, choose 10, 25, or 50 results per page, and use Previous or Next without losing the other list's selection. On a phone, the current page becomes labeled cards instead of a wide table.
  6. A team marked with an asterisk has a league penalty applied. Standings show adjusted wins without exposing the private league reason, and adjusted wins never fall below zero.
  7. Standings, Weekly Results, and Top Shooter use words and symbols with color so status and rank stay understandable in every display mode.
  8. League History is split into two short workspaces. Use Season results to choose one completed season and review its Champions and Top Shooters; expand final team standings or final player totals only when needed. Use Player history to search one player and view that person’s released season and career records without loading the season-result tables. Completed seasons are listed newest first by finalization date, even when their names do not sort chronologically.
  9. Completed seasons show summaries rather than reconstructed weekly results. If official sheets exist, use the season-scoped score-sheet link; otherwise the page says that no score sheets are available.
  10. If the same player is active in more than one league night, one player history can show records for each league night.
  11. Use the average toggle to switch between the current season average and all-time average.

Sign In

Captains use the login provided by the league admin. A captain account may be linked to more than one team, as long as those teams play on different nights.

  1. Choose Sign in.
  2. Enter the username and password provided by the league.
  3. Choose Show when you need to check the password you typed; choose Hide before signing in.
  4. If your login is linked to more than one team, choose which team you're signing in for. To switch teams later, sign out and sign in again.
  5. An Officer login linked to a team is asked to choose Officer only (normal full access) or Acting for [team]. Acting for a team restricts Score Sheet entry and Saved Sheets to that team only for the session; a persistent banner shows the active mode. Every other Officer capability stays full scope while acting. Sign out and back in to change.
  6. After signing in, use Captain Home or the menu to open Roster, Current ScoreSheet, or Completed Score Sheets.
  7. If the password does not work, contact the league admin to reset it.

Manage Your Roster

Captains can manage only their assigned team. Admin and Officers can assist any team.

  1. Open Roster.
  2. Use the compact Regular and Substitute tiles to review the team quickly. Phone layouts keep two player tiles per row.
  3. When roster changes are open, drag a tile between Active roster and Removed players. On a phone or tablet, use the tile's Remove or Restore button.
  4. Use Find a player before adding first. The search checks prior seasons, your removed players, current rosters, and substitutes.
  5. Your removed player gets a Restore action. An eligible prior player gets Use Player, which keeps that player's history connected.
  6. Selecting Use Player opens Main and Subs choices. If the selected group is full, choose the player to release; the release and add are saved together.
  7. A player active on another team's Main or Subs roster is identified with that team name and cannot be moved. Release the player first, then add them only when the league's released-player rule allows it.
  8. Use Find a player to edit to open one current roster player's name, gender, and regular/sub status. Season and All-Time Average are calculated from released results and cannot be manually changed.
  9. Open Add a new player only when no existing profile matches. Its starting average is read-only and begins at zero, then updates from released results in that season. A reused player profile shows its calculated released season average. Duplicate same-night names receive the next number, such as John Smith 2.
  10. When roster locking is enabled, each Division locks on the date its scheduled play reaches the configured roster-lock week. Another Division or season does not lock early. Admin and Officers can still make an authorized roster correction; contact a league manager when a captain control is hidden or locked.

Use the Current ScoreSheet

Each captain keeps one temporary score-sheet copy for the scheduled match. The app compares both copies field by field, and each captain signs only the other captain's matching copy.

  1. Open Current ScoreSheet.
  2. Before editing, check Signed in as beside the sheet title. It names the account that currently owns this browser session even when the phone menu is closed or a different account's session-replacement confirmation has not been completed.
  3. Select the scheduled match. Captains should only see valid matches for their team. Each Division advances independently, so unfinished results in another Division do not delay that team's next score sheet.
  4. During Setup Phase, choose and save only your own team's players. The opposing captain independently saves the other lineup.
  5. The division controls whether Season or All-Time Average is placed on the sheet. When average ordering is required, selected players are automatically placed from lowest to highest before Play begins.
  6. If a new player is needed, choose New Player from the player dropdown, enter the player, then confirm. If the name already exists in that same league night, the saved roster name receives the next number.
  7. After both captains save complete lineups, the app places both rosters on each copy and allows Begin Play.
  8. Enter games as they are played. A scored game must have exactly one player scoring 10. BR, TR, and 8 set that player's score to 10; BR and 8 also set the opponent to 0.
  9. Team wins and losses remain blank until a round has every game score.
  10. Use Save temporary copy during the night. Differences are highlighted on both copies and must be corrected by the captains.
  11. When the copies match, choose Sign opposing captain's copy. Your authenticated account—not typed text—records the signature.
  12. After both captains cross-sign the unchanged matching copies, one official result is created automatically. Editing a signed temporary copy clears its signature and requires comparison and signing again.
  13. If the copies differ, the mismatch box shows the exact value from each copy for every affected player, round, average, or event.

Review Completed Score Sheets

Completed Score Sheets keeps a captain's phone list focused on the current work that still needs attention.

  1. Open Completed Score Sheets.
  2. Open is the default and shows only current-season sheets that are not official.
  3. Tap Official when you deliberately need a current-season official result.
  4. Tap Archive for prior-season sheets. They are archived automatically and remain read-only.
  5. Use Week, and the Archive season filter when shown, to narrow the compact card list.
  6. Choose Edit temporary copy for current unfinished work, View Sheet for an official result, or View Archive for the lightweight read-only prior-season record.
  7. The list shows at most 20 cards at a time; use Previous or Next instead of scrolling through the full history.
  8. Sheets with differences stay with the captains. Open the temporary copy to review the highlighted fields, correct it, and compare again.
Admin and officers

Admin and Officers

Use these steps to set up and close seasons, manage history and logins, build schedules, audit official corrections, and publish rules.

Admin Setup

Admin Setup is a tablet/desktop control center. Open its main-menu tree for Overview, League Settings, Season History, and the operational tools you are authorized for; Admin also sees Accounts & Roles and the Audit Log. The active tree opens automatically and remembers your preference elsewhere.

  1. Open Admin Setup for the overview: workspace shortcuts, league summary, and Setup health before league night. The tree's Overview, League Settings, and Accounts & Roles items are each their own page now, not a scroll down one long page — clicking one takes you straight to just that feature.
  2. Who can open what: every Admin area is a switch on the individual Officer login — Schedule Admin, Season History, League Settings, Rules Editor, Email Delivery, Accounts & Roles, and the Audit Log. A new Officer starts with all of them on and you turn off whichever areas that person should not have, so two officers can have quite different access. Switching one off denies that officer the page itself, not just its menu link.
  3. Use the workspace shortcuts for Schedule, Rosters, Completed Score Sheets, Public Rules, and—when signed in as Admin—the complete Audit Log.
  4. Open League Settings for League basics (league name, season label, password policy, current season name) and Game and roster rules — open the latter only when league enforcement needs to change. Admin sets a password minimum from 4 through 20 characters and may independently require uppercase, lowercase, and special characters. With all three checks off, only the chosen length applies. Tightening the policy affects new and changed passwords, not sign-in with an existing password; relaxing a requirement is recorded in the Audit Log.
  5. Admin shows only the Current and Previous seasons. A current season must pass the reviewed close in Season History before a new one can start.
  6. Historical league and player records remain available in League History, and prior score sheets remain available in the Completed Score Sheets Archive.
  7. Open Accounts & Roles for Access and logins — use the one Add login form, choose Officer or Captain, set the password, and select a team when creating a Captain. Admin and Officer accounts appear by default; choose Captain logins or search when a Captain login needs attention. Use Enable Login or Disable Login for access. A successful Admin password reset confirms whose password changed and that existing sessions were signed out. Delete Unused Login is permanent and appears only for Captain and Officer setup records; its dependency preview blocks any login with security, contact, score-sheet, or administrative activity. Reaching this page at all requires the Accounts & Roles switch, so an Officer without it cannot open account administration.
  8. Open Permissions & teams on the person's account card. An Officer shows the seven Admin areas; a Captain shows Score Sheet entry, Completed Score Sheets, and Roster, which apply only to that captain's own teams. Every one is a separate switch and starts on. A change takes effect at that person's next sign-in — their current session is ended so the new access applies.
  9. Captain assignment offers only active, current-season Teams; Withdrawn teams are not offered. Team labels include the Division and add the location or stable Team number only when active names would otherwise be indistinguishable.
  10. Team assignment is in that same panel and means something different for each role. For a Captain it is captaincy: a team has one captain, and a captain may hold more than one team but never two that play the same night. For an Officer it is coverage: the team keeps its own captain, more than one officer can be assigned the same team, and an officer with any assigned team is asked at sign-in whether to work as Officer only or to act for one of those teams. Assigning or removing Officer coverage ends that Officer's active session immediately; the confirmation and result both say they must sign in again so the new acting-team choice is loaded.
  11. Open Login details on a Captain account to change the person's display name, username, or password-change requirement. Use Login access for Enable or Disable, and use Protected contacts separately so contact destinations remain masked.
  12. Admin is a single switch held by one account for the whole league. It grants no extra access on its own — it marks the account tied to the billing arrangement — and it cannot be given to the support login.
  13. Account results start at 5 rows per page, with 10, 25, and 50 row options when more context is useful.

Close a Season or Add Historical Totals

Season History is an Admin/Officer review workspace. Completed history does not require score sheets.

  1. Open Season History from Admin Setup or the signed-in menu.
  2. To close the current season, resolve every scheduled non-bye match, remove temporary copies, review the final totals for every division, enter the review reason, and choose Close season and publish totals.
  3. Closing publishes final team and player summaries, exactly one champion per division, and archives any official score sheets as read-only.
  4. To add older history, validate one complete CSV/XLSX season or create one manual season. Historical imports contain totals only and never accept score sheets.
  5. Review every team and player identity. A unique exact name may be suggested, but each row remains explicitly Create new or Link existing until you publish.
  6. If any division, team, player, statistic, champion, or identity decision is incomplete, the whole season is rejected. Partial history is not published.
  7. After publication, the season is a read-only matter of fact and cannot be amended.
  8. When there is no current season, Copy newest history into new season creates independent divisions, teams, and roster identities for setup. It does not copy totals, schedules, score sheets, bars, or finalization.

Set Up Divisions, Teams, and Schedule

Schedule Admin is a main-menu tree with direct destinations for Build Season, Locations & Tables, Team & Division Management, Review Season, and Schedule Changes. The active tree opens automatically and remembers your preference elsewhere. Build Season retains the four compact setup stages; Review Season opens schedule review directly.

Review Season keeps the season and division context visible while showing one URL-backed task at a time: Schedule rows, Setup & dates, Public events, or the sensitive Team withdrawal workflow. Refresh, browser Back, validation messages, and copied links return to the selected task instead of reopening a long combined page.

Open Team & Division Management for one compact list of every team in a selected division. Active teams appear first, and you can search by team, captain, or location. Use each row's Manage menu to open the roster or schedule, edit the team and home location, Withdraw Team, or preview Delete Unused Team. Team creation does not create a captain login; create that separately under Admin > Access and logins when access is needed.

Merge Division moves every Team from the selected source Division into one retained Active Division. The retained Division's play day and rules win, the emptied source becomes Inactive, division events follow the retained Division, and locked pre-play schedules—including same-night shared-location schedules—are rebuilt together. The preview requires a reason and confirmation and blocks any affected captain copy, started sheet, official result, archived sheet, stale state, duplicate active team name, invalid location, or table-capacity conflict.

Withdraw Team is the normal history-preserving action. It marks the Team Withdrawn, releases active roster rows, Disables every linked captain login and revokes its sessions/tokens, preserves completed results and statistics, and either converts eligible future opponents to byes or performs a complete pre-play rebuild. Delete Unused Team is permanent and only succeeds when every displayed schedule, score-sheet, roster, audit, history, and integration dependency count is zero and every linked Captain login is itself unused. The preview names how many eligible Captain logins will be deleted with the Team in the same transaction; activity on any linked login blocks the Team deletion. Its final dialog asks only for the irreversible confirmation; no typed name, checkbox, or reason is required.

Open Schedule Changes from the Schedule Admin tree, Admin Setup, or a locked schedule. Choose the task tab you need: Reset/Rebuild, Split/Add Division, Move Teams, Change Dates, Blackouts & Holidays, or Withdraw Team. Only that task appears, so you do not need to scroll through unrelated controls. Before play starts, Reset/Rebuild can also change the current division's Meetings Per Season from 1 through 9; the setting and replacement schedule are saved together only after preview and confirmation.

Use Split/Add Division only before play begins. Select a locked source division, name the new division, choose existing teams to move, and optionally add new teams and their home locations. Preview shows every division that must be rebuilt together, including same-night divisions sharing table capacity. The change is blocked if affected score-sheet work exists or either resulting division would have fewer than two teams. Review the proposed weeks, played matches, byes, and dates, then confirm the complete atomic rebuild with a reason.

Schedule rebuilds, Division merge, and Team withdrawal require their reviewed reason and confirmation. Rebuilds are pre-play only: any captain copy, entered game, started sheet, official result, or stale preview blocks the complete operation. Permanent deletion instead uses the dependency preview and one concise irreversible confirmation. A date-only change preserves the week, teams, home/away assignment, and lock; it is blocked by score-sheet activity, a league blackout, or a same-date match for either team.

Generated schedules give each opponent one home and one away meeting and attempt to avoid more than three consecutive home or away matches when blackouts, byes, and required pairings permit.

Locations & Tables: Schedule Admin → Build Season provides one shared location record for every matching bar name. Enter a bar name and description, then choose 1–10 available tables for every day of the week. New locations default each day to one table. Saved locations start as five collapsed cards per page; search the complete list, choose 5, 10, 25, or All, and open only the location that needs editing. This keeps the page bounded without a nested scrollbar. Assign every team to its home location; one home match consumes one table, and schedule creation, rebuilding, and individual date changes prevent combined matches across all divisions from exceeding that day’s availability. Admins can rename a location, update its description or daily availability, or mark it inactive without deleting schedule history. Teams & Bars keeps a division selector visible so teams from each league night can be reached directly.

  1. Season: choose the season. Open the optional prior-season import only when setup should be copied.
  2. Division: select or add a division. Open its details to change play days, player count, match order, handicap, lowest-to-highest average order, or active status. Each division controls its own average-order rule.
  3. Teams & Bars: add teams and their selected home locations. Use Team & Division Management for the complete division list and later Team changes. Create any needed captain login separately under Admin > Access and logins.
  4. Build & Review: open Review Season, choose Setup & dates, then use Global holidays and blackout dates. Enter a name and choose the date from the calendar for a national holiday, local holiday, or other league-wide skip date.
  5. A global holiday skips every division playing on that exact date. Each affected play-day cycle resumes on its next available date and its remaining time is added at the end, so two play-day cycles do not have to finish in the same week.
  6. The generator completes every opponent pairing once, repeats the cycle with home and visitor reversed, and then locks the division schedule. A locked schedule cannot be changed with ordinary add, edit, delete, or rebuild controls.
  7. For a league-wide blackout, first review each affected division's original and new ending date. If nonofficial play was entered, the warning shows affected team, sheet, and game counts. Confirming erases that nonofficial play and prepares clean sheets on the recalculated dates. An official sheet blocks the change and must use official correction.
  8. Removing a league blackout adds the week back and pulls eligible future weeks earlier while preserving the original match order. Completed official weeks never move. Location-only blackout warnings do not recalculate the league.
  9. Choose Team withdrawal in Review Season to record the reason, disable captain access, retain official wins/losses and player statistics, release players, and convert future opponents to byes beginning the next week. A complete rebuild is offered only before any division score sheet starts.
  10. Choose Public events in Review Season for meetings, banquets, or other public notices. Choose General Public for a season-wide notice or choose one division. Time is optional and uses local 15-minute choices. Events can share a date with matches or blackouts; they never change weeks, scoring, standings, or the schedule lock.
  11. On the public Schedule, choose one or more divisions or teams from the searchable controls. Click anywhere on a highlighted option row—not only its checkbox—to select it; the picker stays open for additional choices and refreshes after it closes. Calendar, phone agenda, and print show distinct Match, Blackout, and Event treatments without exposing private Admin reasons. Use Print Schedule for a clean, readable copy of the current filtered layout.

Admin Roster Control

Admin can manage every team's roster and can fully delete mistaken player records.

  1. Open Roster.
  2. Admin and Officers can assist any team. An active player on another team cannot move; release the player first.
  3. When adding an eligible prior player, choose Main or Subs. If that group is full, select the player to release and save both changes together.
  4. Select the team to review.
  5. Drag compact tiles between Active roster and Removed players, or use the matching buttons on touch devices.
  6. Use Find a player before adding to distinguish an own-team removal, an assigned shooter, an eligible substitute, and a prior profile with no current-season team.
  7. Use Find a player to edit to open one current roster player's details instead of scanning a form under every roster tile.
  8. Open Add a new player only when the shooter is not already listed; select Use Player when search finds a reusable prior profile. Starting average is calculated and view-only, never entered manually.
  9. Active Main and Subs players never move directly between teams. Release the player first; players with no completed games may then be added, while players with completed games follow the Admin-controlled eligibility setting.
  10. Remember that the same player profile can be active in multiple seasons or league nights, but each season roster row moves separately.
  11. When the same player is added to another league night with the same name, the public history stays tied to that one player profile.
  12. Use Delete Permanently only for mistaken or duplicate records. Use Drop when history should remain.
  13. If a different player has the same name within the same league night, the site keeps names distinct by adding the next number.

Edit, Approve, and Correct Score Sheets

Two saved score-sheet copies must be in Play and match before they can become official. The available approval combinations are two captain signatures, one captain signature plus Officer Approval, or Admin Approval.

  1. Open Completed Score Sheets.
  2. Stay on Open to view current nonofficial captain copies. Captains can correct their own copies. Admin and Officers can correct a captain copy within their authority and must enter a reason; the change is identified as an Admin edit and the account's actual role is retained in the audit history.
  3. Two captains: each captain signs the other captain's unchanged matching copy. The second captain signature makes the score sheet official automatically.
  4. One captain and an Officer: when exactly one captain signature is available, Officer Approval with a required reason counts for both signatures and makes the score sheet official.
  5. Admin: Admin Approval with a required reason makes the matching score-sheet copies official immediately, with or without captain signatures.
  6. Use Official to select the current official result that needs a confirmed transcription correction.
  7. Choose Correct official result. Only Admin can use this action.
  8. Make the minimum required correction and enter a clear reason. The original and corrected values, Admin account, time, and request are written to the audit log.
  9. Weekly performance and standings count released official sheets after the full play day is complete.

Rules Draft and Publishing

Rules are edited as a draft first so scanned/OCR text and page order can be reviewed before publishing.

  1. Open Rules Editor.
  2. Edit the working text and compare it with the scanned PDF copy.
  3. Use the persistent Save Draft action while correcting wording or page order. Saving does not change the public page.
  4. Review the saved and published dates, then open Preview public Rules page in the review panel.
  5. Use Publish Draft to Rules Page only when players should see the reviewed version, and accept the confirmation prompt.
  6. After publishing, confirm the public Rules page search still works.

Security Before Public Use

Before the public launch, reduce default access and make sure admin accounts are protected.

  1. Change all default passwords.
  2. Turn on forced admin password changes when ready for final publish.
  3. Keep public pages limited to Home, Schedule, Standings, League History, Rules, Help, legal pages, and Login.
  4. Confirm captain accounts can only see their assigned team.
  5. Under Access and logins, use Add login, choose Captain, and select an existing team; or filter the Account Directory to Captain logins. Expand Permissions & teams to change team assignments and Login details to change the captain name or username.
  6. Choose Require password change at next login when the captain should replace the password the Admin sets. Leave it off when that assigned password should remain in use.
  7. Use HTTPS for final hosting.

Backup, Checklist, and Activity Log

These tools help prevent accidental changes before public use and during the season.

  1. Open Admin Setup.
  2. Use Download Backup before importing last season, replacing schedules, or making large changes.
  3. Review Setup health for missing captains, missing play days, teams without schedules, short rosters, temporary passwords, and captain-copy mismatches.
  4. Expand Recent activity for the latest changes, or open Audit Log to search by action, area, actor, role, or date and review redacted before/after evidence.
  5. Only Admin can read or export the complete audit history. Officers' authorized changes are still recorded with their account, role, request, target, and source.
  6. Use Export Filtered CSV when a review needs a durable copy. The application retains audit records for the life of the league installation and never records usable passwords, tokens, or provider secrets.
  7. Dangerous buttons ask for confirmation before continuing.
